Operation Coordinator
Job Description
As an Operations Coordinator for the client you`ll support business teams in managing various financial and procurement tasks. This role will involve managing comprehensive PO and invoice reviews, handling queries, as well as maintaining supplier and customer information.
Main Responsibilities:
- Manage the registration and approval process for suppliers, ensuring all necessary documentation is collected and verified.
- Conduct reviews of Purchase Orders (POs) and invoices to ensure accuracy and compliance.
- Generate and maintain an open Purchase Order report to track outstanding orders.
- Address queries related to transactions, PO extensions, matching discrepancies, and other inquiries with suppliers to facilitate smooth operations.
- Review and process consultant invoices, ensuring timely payment and adherence to contract terms.
- Manage POs related to inventory, ensuring timely procurement and receipt of goods.
- Triage Goods Receipt (GR) entries to respective purchaser, ensuring alignment with POs and supplier agreements.
- Facilitate the registration and approval of customers, including conducting credit checks for risk assessment.
- Provide invoicing support to the sales team.
- Monitor outstanding payments and follow up with sales team/customers on overdue invoices.
- Collaborate with the fulfillment team to ensure efficient fulfillment of customer orders and inventory management.
- Collaborate with the Sales & Marketing team in preparing sales and expense forecasts.
- Maintain customer and vendor master data.
Skills:
- Bachelor’s degree or higher in related area.
- Strong attention to detail and organizational skills.
- Proficient in managing financial documents and procurement processes.
- Excellent communication skills in English and Swedish, both written and verbal.
- Ability to work collaboratively in a team environment.
- Proficiency in relevant software and systems for finance and procurement.
